Executive Health Program Coordinator

Job Overview:

This position serves as a lead role in delivering the Executive Health program's unique one-day, in-depth, personalized medical and wellness examination. This position is responsible for the management and development of our state-of-the-art medical evaluation with multiple functions including supporting and coordinating patient scheduling, care coordination, and records along with corporate/client communication and coordination. Position requires working knowledge of department operations, policies and procedures, and an exceptional level of attention to detail and customer service. This position will work directly with Corporate Medical Director, multiple TriHealth departments, company contacts, and with Executives and their Administrative Assistants.

Job Requirements:

Graduate of an approved technical, professional, or vocational program in Medical Assistant, or current LPN licensure also acceptable. Equivalent experience is accepted in lieu of degree. (Required)
1 - 2 years of office experience. (Required) 
1 - 2 years of computer applications experience. (Required)

Phlebotomy training or experience required.

Job Responsibilities:

Coordinates staffing, patient intake process, exam scheduling, interdepartmental scheduling, database maintenance and reconciliation, patient billing, and all patient-to-program and interdepartmental communications. Ensures that Executive Health is responsive to healthcare trends, technologies, and patient needs. 
Collaborates with Corporate Health team to recruit and engage new companies and routinely engage with existing corporate clients to evaluate patient and company satisfaction levels and make modifications to processes as needed. 
Registers patients accurately across multiple platforms utilizing company-specific protocols, accurate data, appropriate and current forms. Notifies Executive Health department of updates/changes to protocols and forms, as necessary. Schedules executive appointments and creates itineraries in compliance with established guidelines and knowledge of company-specific protocols to determine appropriate testing and timelines for individual appointments. 
Communicates with patients, companies, physicians, laboratory services and specialists (Occ Med Ctr staff, PT, Dermatology, Cardiology, Gastroenterology, Nutrition, etc.) to verify that all personnel obtain the medical information needed in advance to perform their aspect of the patient evaluation. Provides patients, companies and departments with all pre-exam documents and instructions as well as necessary post exam documentation and follow up. 
Administers medical procedures such as drawing blood, sample processing, injections, EKG, PFT, perform vision & hearing screenings, vital signs, and other applicable office procedures. Accurately gather information to post charges for patients. Checks providers' documentation to ensure client is charged appropriately for all services provided. Works with billing team and other departments to reconcile discrepancies in a timely manner. Compiles all results information and maintains comprehensive and accurate medical records in EMR and in Executive Health department records. 
Allocates resources across hours of operation to maximize patient access and satisfaction, provider productivity and efficiency, staff productivity, cost-savings, and operational efficiencies. Reviews monthly productivity results with staff. Provides financial analysis Corporate Health to facilitate planning and cash flow management and review variance explanations. Communicates budget and variance information to professional staff. 
Manages and maintains patient rooms and administrative office with necessary supplies. Prepares exam rooms, including sanitization in between visits. Assists patients with prescription requests, address pharmacy callbacks, provider orders, update charting and filing.
