Lead Front Office Specialist - General Admin

Job Overview:

This position provides quality service to patients through accurately gathering demographics and insurance information, scheduling appointments, answering, handling and screening incoming telephone calls; greeting and registering patients. In addition, this position is responsible for check-out functions, including review of encounter form data, collection of co-payments, scheduling follow-up appointments; completing daily bank deposit; day-end reconciliation duties. Some locations also require this position to complete charge/receipt-entry and charge-receipt summaries for all office-related services. This position also serves as a direct contact to the manager and a mentor to the front desk staff. Provides process changes keeping the front desk up to date.

Job Requirements:

High School Diploma or GED (Required)
3 - 4 years experience medical/physician office setting (Required)
Knowledge of medical office and computer knowledge

Job Responsibilities:

Answers incoming telephone lines and handles/distributes calls professionally.
Assists by surveying and organizing front office supplies to maintain efficiency by informing the Manager of the need for office supply materials.
At some locations may oversee copying of patient charts for outside requests, for compliance to legal guidelines for privacy, accuracy and payment.
At some locations may schedule patient appointments in compliance with established guidelines. Has ongoing knowledge of company protocols to determine amount of time and time of day appropriate for individual appointments. Also monitors patient time in building, offers patient/company options if extensive delays.
Demonstrates courtesy and respect toward families, community professionals and agencies, office personnel and team members. Follows JCAHO and HIPAA protocols; access to patient information will be limited to what is necessary to perform the job.
Handles patient complaints and refers to manager as appropriate. Demonstrates flexibility and /or initiative in seeking or accepting additional assignments.
